01Information we collect

We collect only what is needed to run inspections, snags, audits, permits and reports:

• Account details: name, work email, company, role and the projects you are invited to.
• Site records: checklists, snags, audit answers, permits, toolbox talk records, comments and signatures.
• Site photos, with the time, project, floor and grid location attached when they are taken.
• Worker attendance for toolbox talks and inductions, as entered by your supervisors.
• Device and usage data such as app version, sync status and error logs, used to keep the site app reliable offline.
• Details you send through the signup and contact forms on this website.

02How site photos are used

Photos are used to record the quality and safety condition of the works, to show the evidence behind a snag or audit finding, and to prove closure. The AI Defect Spotter reviews photos to flag possible defects and safety risks for a qualified person to confirm.

Worker photos are used only for safety and quality records. They are not used for facial recognition, individual tracking or disciplinary surveillance, and we do not offer features designed for those purposes.

03Who owns project data

Project data belongs to the company that holds the account. We process it on that company's instructions to provide the service. We never sell project data, site photos or personal information, and we do not use it for advertising.

04AI processing

Photos are processed by our models to produce flags. Reviewer decisions to confirm or reject a flag are used to tune what is shown on your projects. Your photos are not shared with other customers, and they are not used to train models offered to other customers unless your company opts in in writing.

05Sharing

Information is shared only in these cases:

• With people your company invites, such as engineers, subcontractors, consultants and clients, limited to what you allow them to see.
• With service providers that host data, send email and process payments, under contracts that protect it.
• When required by law, or to protect the safety of people on a site.

06Security

Data is encrypted in transit and at rest. Access inside the service follows the roles your company sets. Photos and records stored on phones for offline use are held in the app's protected storage and removed when a user signs out.

07Retention

Records are kept for as long as your company keeps the project active and for the period your company sets after completion, so that they remain available for handover and defect liability. When an account is closed, data is deleted after an export window, unless the law requires us to keep it longer.

08Your choices and rights

You can ask to see, correct, export or delete your personal information. Where your records belong to your employer's project, we will work with your employer to respond. Write to us through the contact page.
